The Greatest Leadership Lesson I learnt This Year as a District Governor

Dear all members,

Many members asked me this questions: “What do you gain as a district governor?”

At my last night as your district governor, I would like to share with you the greatest leadership lesson I learnt this year.

At the last Saturday of March 2011, I received TI’s weekly report and saw that our district still lagged far behind our CC and AC goal. We only completed 1/3 of CC and 1/4 AC and we only have one quarter left. I felt disappointed and even frustrated. Spring was the peak season for my business. I looked at my busy schedule for April and May and then looked back at TI report. I even started to doubt the meaning of fulfilling Toastmasters goals while I was so busy at work.

Then I called my predecessor, Rebecca Hong, who brought me into Toastmasters and had always been my Toastmasters “boss” in my 7 years of life in TMC. She listened to my frustration for almost half an hour and then asked : “Do you have the determination to achieve these goals?” I said, “I’m not sure. I am so busy at work and will be on frequent business travel in the following two months…” She stopped me and said, “What you need right now is your 100% determination to achieve your goals. If you tell yourself you will definitely achieve this goal, you will find the way out. I guess you already know how to get more CCs and ACs, what you really need is your determination!”

After I hang up the phone, I thought over her words again and again–determination, determination and determination.

Then I guess you already knew what we did in the last quarter to mobilize members in all China to achieve their educational awards: motivation, providing resources, tracking and following up…

Now I’m very happy to tell you that our district exceeded our CC and AC targets in the last week of June! 95% of potential ACs on my tracking list achieved their AC goal according to their plan. This is a great team success with determination!

As a leader, if I doubted in my capability to achieve our district’s goals, I could neither infuse the whole district team with passion and determination to achieve the team goal, nor inspire members to achieve their goals. I did feel that after I made up my mind to achieve those two goals whatever happened, I become more courageous and more confident.

Some people might argue that we need to relax in Toastmasters since we already have great pressure at work. It may sound reasonable in some contexts. But I want to point out that don’t let those arguments be your excuses for not moving forward in Toastmasters as well as at your work or life. After all, we join Toastmasters for self development and self fulfillment.

Of course, I cannot do this alone. I’m very grateful for every member who achieved their educational awards in the this year (July 1 2010 to June 30, 2011)! Owing to your effort, we made this seemly impossible task a reality!

At my last night as your district governor, I just want to share with you this greatest leadership lesson I learnt in this year—IN ADVERSITY, YOU NEED TO BE 100% DETERMINED TO ACHIEVE YOUR GOAL!

Tomorrow we will embark on a new journey. Continue to enjoy your Toastmasters journey! Let’s Achieve Greatness Together! I will always there supporting you!

FAQs about online submission of CC/AC/leadership awards

1. Q: I cannot see “Club Central” link after I login: http://www.toastmasters.org/Members.aspx
A: Please ask all your seven club officers (President/VPE/VPM/VPPR/Secretary/Treasurer/SAA) to try their personal account to login and see which officer can get access to club central. Use that officer’s account to login and submit CC/AC/leadership awards for your members for the last two weeks of June.
Since it’s only two weeks left for your current term, it’s okay that you don’t get your club central function. But please remember to update your next term club officers list before end of June to ensure that they can get club central function from July. If they encounter same problem, ask them to email membership@toastmasters.org, report their club number, member number and problem.

2. Q: I was about to apply CC/AC award for a club member. But TI website shows that this member is not a paid member on my member roaster.
A: Check with your VPM and club treasurer whether your club has paid dues renewal for this member on TI website or not. If not, please renew this member asap. If yes, email membership@toastmasters.org and tell them your club number, your club member’s number, and ask them why this member is not a paid member in your club member roaster.

3. Q: I’ve emailed membership@toastmsters.org a few days ago but didn’t renew any reply.
A: Toastmasters International is understaffed currently and June is a peak season for them since it’s the end of this Toastmasters year. For anything urgent, please call 001-949-858-8255 after 11 pm Beijing time and ask the receptionist to transfer your call to membership team.

4. Q: What is the most effective way to state my problem and objective clearly when emailing TI?
A: Please also state your club number and member number in your email subject and in the email body. This will help them find your record sooner. Write your email in this logic: a) Your member ID and club No.; b) What problem you are encountering; c) what you want TI to do. Be direct and to the point. And list bullet points (1,2,3…). This will help Americans understand you. Get to the point at the right beginning!

5. Q: What is the best way to get TI staff’s help on resolving my issue?
A: If you issue is very urgent, the best way is to call them TONIGHT. If not urgent, you might just wait for their email response. It might take them 2 weeks to respond your email. But since June is a busy month for them, if your issue is not urgent, I suggest you wait till July since we have lots of urgent issues for them to resolve.

Should you have more questions, please feel free to contact your area governor, division governor or me.

Cheers!

#1 Useful resources share for your CC Goal

On your way to complete your Competent Communication Manual, are your have difficulties to find your speech topic? Here come our resources sharing #1:

How to find Speech Ideas? Look at Your Life!

10. Inspire Your Audience (Objectives: Challenge audience to achieve higher level of beliefs or achievement; appeal to needs and emotions, use stories, anecdotes, quotes.)
Choose a special event in your life; maybe a challenge you’ve overcome, a successful venture, or perhaps a life-changing decision you’ve made, and explain the importance of the event or what you learned from it. Present it in a way that the audience can also learn those lessons or be inspired by your experience.
Once you’ve completed the basic manual, you can apply the same format of life story to many of the advanced manuals: The Entertaining Speaker, Speaking to Inform, Specialty Speeches, The Professional Speaker, Persuasive Speaking, Storytelling, and Humorously Speaking could all be used effectively to share your life experiences.

9. Persuade with Power (Objectives: Use logic and emotion to appeal to audience; persuade them in some way.)
What are you passionate about? What social causes do you believe in? With what organizations do you volunteer? Any of these issues can educate an audience while also allowing you to explain your viewpoints, beliefs, concerns and passions. If you can convince a member of your audience to get involved in a specific cause, everyone wins!

8. Get Comfortable with Visual Aids (Objectives: Select visual aids appropriate for message; use them correctly and with confidence.)
While we normally associate visual aids with business meetings and seminars, their use can also be an excellent way to demonstrate a hobby, skill or talent you enjoy. I’ve seen props used to demonstrate the steps involved in building model ships, needlework techniques, food preparation, and scrapbooking. Computer- based visuals can flash pictures of a favorite trip on the screen. A flip chart or whiteboard can be used to list specific instructions for a craft or hobby that you enjoy.

CC7. Research Your Topic (Objectives: use facts, examples and illustrations gathered from various sources through research.)
This would be a great time to speak about a favorite relative. Research how your ancestors ended up here. Bring photos of your grandparents and tell how they managed through the Depression. Tell about an uncle’s experience in WWII or Vietnam, and include information about the political attitudes of the era. Once you begin, the research will be fun, and you’ll be adding to your own life’s history by including the history of your ancestors.

3 Rules for Capturing Audience Interest
    Rule 1: Counter-program
The audience has expectations. If they’ve heard you before, they think they know what to expect. If they haven’t heard you, they group you with other keynoters or speakers they’ve heard from your industry.
You have to break through their preconceptions.
If everyone else is using text-heavy PowerPoint support, consider using dramatic photos.
If everyone else is forecasting the future of your industry, focus on eye-opening lessons from the past.
If your public personal is fire-breathing, use a more “fireside” style.

Rule 2: Speaker support should only support
You’ve seen them all. Text-flooded PowerPoint slides that look like pages of a book. Charts dense with information, with typeface reduced to barely readable size so it all fits on a slide.
Every time a new slide comes up, the audience stops listening to the speaker while reading the slide. Then there are those presenters who speak straight from their slides, adding few ad-libs or spontaneous thoughts.
People can either read the slides or listen to the speaker, but they cannot do both simultaneously. If you are simply parroting your slides, you’ve essentially made yourself superfluous, maybe even a nuisance.
Once, Jack Welch, former CEO of General Electric, attends a PowerPoint presentation given by a GE staff member. The speaker was reading directly from each slide, and finally Welch, fed up, called out, “Look, I can read as well as you can. If this is your presentation, why don’t you just hand me your slides and we can be done with it.”
If you must use PowerPoint, use it as an outline only to prompt your memory and give your audience a roadmap. After all, it’s not your software giving the speech – it’s you!

Rule 3: Play the Audience “捉弄”听众
A speech is live theater. You don’t have to entertain, but you do have to tell a compelling story. The audience is not out to get you…usually. But they won’t hang on your every word either, unless you lure them in.
So know your audience – and your speaking environment. Use your best sense of what they want from you – and give them something more, or something different, or something that bends their perspective.

Success is different for each of us, but the path to get there has the same obstacles: fatigue, rejection, failure, distraction, burnout, complacency, and countless others. 2. The Audience is NOT in their Underwear – The Discipline of Mastering Presentation Skills–Time: 1-1.5hours

Whether in front of an audience of 1 or 1000, presentations can be scary. What most people don’t know is that there are secret presentation techniques that even the best speakers in the world rely on to look better than they are. Applying these universal formulas is certain to not only increase your confidence as a presenter, but your income, as well. Toastmaster World Championship Finalist and professional speech coach Rory Vaden will help you overcome the fear of public speaking and enlighten you with some of the best techniques ever available.

How to reduce the chance of loosing your Toastmasters correspondence in China

By L3 Area Governor Wally Marek

China Post, the main postal service in China operates on addresses written in Chinese characters. To deliver mail addressed in English the post office uses translators, often the person who does this job is not stationed at a particular post office but moves around to post offices on a regular basis to translate foreign incoming mail.

With this system some problems arise:
    1. Mail has to wait until the translator arrives.
    2. Translations (correct addresses) rely on the ability of the translator
    3. Your mail is possibly on the bottom of the translator’s pile and it doesn’t get processed on the first visit
    4. If the translators box, or clearing room gets filled up, then it probably gets emptied out and your mail is never seen again

Actions that may help the mail get through:

    • Use only the one mailing address for all mail, including the Toastmaster Magazine
    • Provide a cell phone number with the address. Often the post office will call the number if it has one. Toastmasters International should include the cell phone number with all mail addresses in China. This is considered normal protocol here
    • Go to the post office and find out who the translator is. Get to know the days they visit and meet them if you can.
    • Provide the post office and the translator with a written translation containing both the English text and the Chinese, so that they may easily be able to match it with the address on the mail. Include the addressees cell phone number.
    • Talk to the manager of the post office, if you can, and offer to help. This could be in the form of club membership for the translator or interested China Post staff.
